VAT REGISTRATION AND SUPPORT
VAT status affects contractual pricing, tax invoices, settlements with suppliers and cash flow. We will verify the basis and date of registration, prepare the application, configure the documents and organise the first reporting period.
After launch, UBC specialists can manage the VAT function on an ongoing basis: controlling tax invoices, input VAT, adjustments, the VAT return, payments and electronic confirmations.
VAT Registration and Contractual Terms
Before registration, the accountant reviews the business activity, customers, expected transactions, pricing, purchases, imports and the current tax regime. For one company VAT may be driven by the requirements of corporate customers, while for another it may be connected with transaction volume or planned imports. The owner's decision is based on current figures and agreements.
It is important to determine in advance how the price will be stated in the commercial offer and agreement, who issues the tax invoice, who collects supplier documents and who monitors registration. The client receives a list of data required for the first transaction, tax documents and reporting.
Registration uses current company information, business activities, agreements, banking transactions and access to electronic services. The application and filing method are determined under the procedure in force on the filing date. The client agrees the date, responsible persons and subsequent changes to the accounting system.
If VAT status is required for a specific contract, the registration timetable is aligned with the supply date, advance payment and signing of documents. The commercial team receives wording for the price and primary documents. This allows work with the counterparty to begin on agreed terms.
Tax Invoices, Input VAT and Reporting
A tax invoice must correspond to the actual transaction and accounting data. The accountant agrees the description, units, codes, date and link to the agreement, invoice, delivery note or acceptance certificate. An adjustment calculation is prepared for the reason for the change in price, quantity, return or another evidenced event.
For incoming documents, the accountant checks the supplier, transaction, details and registration status. Any discrepancies are referred to the responsible employee or counterparty. The company maintains a register of expected documents and can see which purchases require action.
At the end of the period, sales, purchases, registered documents, adjustments and accounting registers are reconciled. The figures are prepared under the current rules and supported by primary documents. The client receives the amount payable and a list of matters requiring a decision before filing.
Electronic reporting is signed by an authorised person, and receipts are retained in the archive. Management receives a short status: filed, accepted, paid, documents still expected and transactions carried forward to the next control period.
Before an advance payment or shipment, the VAT consequences, price, tax point, documents and role of each party are determined. For an intermediary, agency arrangement, import, export or long-term project, a standard agreement may require additional tailoring. The lawyer and accountant agree one consistent structure.
If the goods, recipient, payment method or supplier changes, the information is provided to the specialist before it is used on a recurring basis. This maintains consistency between tax invoices, primary documents and explanations provided to the bank.
UBC can audit product descriptions, purchases, warehouse and production documents and the taxpayer data table. For a real transaction, a supporting-document package is prepared and responsibility for retaining it is assigned. If registration is suspended, a separate package is prepared on the basis of the receipt and the facts of the supply.
VAT Support, Settlements and Documents
For the owner, VAT is linked to reporting and settlement deadlines. The accountant reconciles advance payments, supplies, registration of incoming documents and expected payments. Management sees what amount is confirmed, which purchases are awaiting a document and how this affects the payment calendar.
Requirements for tax invoices and employee responsibility for obtaining documents can be agreed with suppliers in advance. The accountant maintains a register and gives targeted notice of a discrepancy in details, description, date or amount. The commercial team contacts the relevant counterparty about the required document.
If a purchase relates to several business lines or a long-term project, the analytical accounting is configured before the first closing. This allows the owner to assess margin and future settlements using agreed data.
A return, discount, change in quantity, assignment or substitution of a party requires a coordinated contractual and accounting sequence. The accountant determines which document records the event, who signs it and how it is linked to the adjustment calculation and bank payment.
Control stages can be established for a long-term agreement. The manager notifies the accountant of the change before the next document is issued, while the lawyer checks the material terms. The client receives one consistent package and maintains a clear link between the commercial arrangement and the VAT accounting treatment.
The fee depends on the number of tax invoices, adjustments, suppliers, product lines, import transactions and the condition of the accounting records. Registration can be ordered separately, while the ongoing VAT function can be included in the accounting service. A complex transaction or unblocking case is priced after review of the documents.
The first reporting period after obtaining VAT status is managed together with the client's team. The accountant checks the software settings, details, product descriptions, incoming documents, first tax invoices and the roles of signatories. Any discrepancies identified are corrected in the first reporting period.
Before the first filing, the accountant reconciles the registers and electronic data, communicates the amount and obtains management approval. Receipts and the calculation are stored in a separate launch folder. After closing, the client receives a short instruction for regular work and a list of transactions that should be reported to the accountant in advance.
A control meeting with the team confirms internal dates, communication channels and responsibility for incoming and outgoing documents.
Provide the current tax status, expected date and basis of registration, types of sales and purchases, contractual prices, planned advance payments and foreign counterparties. Add examples of primary documents and product descriptions. A UBC specialist will determine the first reporting period and propose support with registration or ongoing management of the VAT function.
Need support or a specialist in your region?
Before filing the VAT return, the accountant reconciles the register with the accounting records and electronic data. Adjustments, returns, advance payments and transactions requiring an explanation are reviewed separately. Management receives a concise VAT summary and an action list for the next period. UBC can organise this cycle as an ongoing service and agree document exchange with your team.

Frequently Asked Questions
Can UBC manage only the VAT function?
Yes, provided the company supplies the agreed registers and primary documents required for the calculation and reporting.
Do you review agreements before the first supply?
Yes. The tax review can be combined with a legal check of the price, subject matter, performance date and documents.
What should be done if a tax invoice is suspended?
Provide the receipt and the documents relating to the transaction. We will determine the required evidence and propose the procedure for preparing and filing the package.
Unblocking Tax Invoices | UBC
If registration of a tax invoice is suspended, the explanation must be linked to the real business transaction: the agreement, supply, payment, company resources and tax reporting. We will analyse the receipt, identify the reason for suspension and prepare a coherent package of documents. Management receives a filing plan, control dates and separate recommendations concerning the VAT taxpayer data table.
