COMPLAINT CONCERNING THE QUALITY OF A PARTNER'S SERVICES

COMPLAINT CONCERNING THE QUALITY OF A PARTNER'S SERVICES

A complaint concerning the quality of an independent partner's service is needed to achieve a result: compare the written assignment with the actions actually performed, record the documents and comments, and determine how to complete or continue the project. UBC organises the exchange of materials between the client and the specialist, separates the professional part from decisions of external authorities and helps record the agreed next actions with responsible persons and deadlines.

Documents and facts for a quality complaint

Describe which service was agreed, who performed it, and which dates and results are stated in the assignment. Add the agreement, invoice, correspondence, transferred documents and the result received. A short chronology helps separate the original scope from additional issues that arose during the work.

It is useful to formulate the desired solution: an explanation, transfer of a missing document, correction of the agreed part, completion of the stage or settlement for the scope actually performed. A specific objective makes it possible to determine more quickly to whom the issue should be addressed and which materials are required for a response.

For an initial review, an electronic set is sufficient: the original assignment or proposal, key correspondence, documents provided by the client, the result received and specific comments. Originals are requested only when they are required to verify a fact or for professional assessment.

List for this stage: original assignment, agreement or agreed proposal; chronology of events and key correspondence; documents provided by the client; result received and comments on it; proposed solution.

One chronology is important for the review: the date the task was assigned, materials provided by the client, agreed control point, document received and specific comment. This format allows confirmed facts rather than a general impression from correspondence to be discussed and helps determine more quickly which element of the work requires action.

Comparison of the assignment with the result actually delivered

UBC compares the complaint with the written assignment and evidence of performance. The independent partner is given an opportunity to explain professional actions and provide materials for that partner's part. If the matter concerns a decision of a court, bank, register or another authority, UBC separately assesses the work prepared and the external result.

For a regulated profession, the rules established by law and the specialist's professional status are taken into account. UBC coordinates communication within the partner model, while assessment of a specialist conclusion may require another independent professional with the appropriate qualification. The client is informed of this format in advance.

Quality review begins with the client's assignment, not with general rules of the partner network. UBC records what was agreed, who performed the professional part, which materials the specialist received and which result had to be delivered by the control date.

The independent specialist provides explanations and materials for the professional part, while UBC organises their comparison with the client's documented assignment. Contractual terms, authority and responsibility are assessed within the actually agreed stage.

The review period depends on the volume of correspondence, number of documents, need to obtain the specialist's explanation and possible involvement of another relevant professional. The client is informed which materials are required for the next control point and what exactly must be established from them.

After the set is checked, the client receives the procedure for further review: which explanations are requested, which document is compared with the assignment and when a solution can be agreed. The next action is determined exclusively from the client project's documents and the professional part actually performed.

The key point is the written assignment, which makes it possible to check the subject, scope of work, source materials, control dates and form of the expected result. If access to an account or confidential data was provided during the process, the agreed scope and duration of that access are checked separately.

During the review, what is assessed is not the number of messages but the result actually delivered compared with the assignment. The client's comments are collected in one version, while the independent specialist's professional conclusion may, where necessary, be transferred for a separate assessment by a specialist with the relevant qualification.

After a solution is agreed, the client receives an updated set: what has already been completed, what must be corrected or added, who is responsible and what date is set. These materials can be transferred to a new specialist or related professional without reconstructing the entire project history again.

In the complaint, we separate the agreed scope from additional expectations. We collect the proposal, correspondence, transferred documents, interim results, payment and the client's comments. Then for each item we state what was assigned, what the specialist delivered and which action is required to complete the work.

UBC will organise the exchange of explanations and propose a way to resolve the matter within the confirmed arrangements. This may be transfer of a missing result, clarification of a document, agreement of the next stage or engagement of a specialist with the required profile. The client receives a recorded solution and a clear procedure for continuing cooperation.

Solution: correction, completion or another specialist

As a result, the parties receive a written record of the agreed actions, responsible persons and deadlines. This may be transfer of a document, clarification of a conclusion, completion of a control point or a separate proposal for a new scope. The solution is linked to specific materials so that it can be checked after performance.

If cooperation continues, we update the procedure for assigning tasks, acceptance and communication with the client. Another specialist can be appointed for the next project or the team composition can be changed. The conclusions accumulated are used to refine the partner's profile and subsequent selection of specialists for similar assignments.

As a result, the client sees the recorded facts, the specialist's position, the agreed action and the deadline for its performance. If cooperation continues, the procedure for assigning and accepting the next task is clarified; if a replacement specialist is required, the new specialist receives an already systematised set.

After the complaint is closed, the director assesses not only the corrected document but also the convenience of the future working arrangement. For recurring tasks, control points, communication channel or the responsible specialist can be changed while retaining the documents already collected and the factual history of the previous stage.

If another professional profile is required to complete the work, UBC can organise transfer of the already assembled set to a new independent specialist. The client does not start the project from zero: the new specialist receives the original assignment, the part actually completed and the list of open issues. This saves the owner's time and preserves the evidential sequence of the work.
