HOW TO USE THE STATE TAX SERVICE ELECTRONIC ACCOUNT

HOW TO USE THE STATE TAX SERVICE ELECTRONIC ACCOUNT

The State Tax Service Electronic Account is an official service through which a taxpayer files reports and applications, conducts electronic correspondence, views registration data and the status of settlements with the budget. Article 42-1 of the Tax Code establishes the legal basis for the account.

For the director, the service is useful when the accountant sees State Tax Service notifications on time and every important electronic action has a receipt or other official confirmation.

What an Entrepreneur Can Do in the Electronic Account

The account functions cover tax reporting, applications, correspondence, taxpayer information, VAT, tax invoices and settlements with the budget. The official list of State Tax Service services also includes the tax calendar, VAT electronic administration data, register searches and submission of requests. The specific set depends on the taxpayer's status.

After electronic identification, the taxpayer submits documents and conducts correspondence electronically in accordance with Article 42-1 of the Tax Code. A qualified electronic signature or another means permitted by law is used for signing. Each signatory uses their own key and acts within their authority.

Through the account, the accountant sees the status of settlements with the budget and receives the relevant electronic documents. The received data are compared with the company's accounting records, and where there is a discrepancy the accountant identifies the tax, period and payment. The owner receives clear information about a debt or overpayment.

Electronic correspondence through the account has official significance under the Tax Code. Incoming documents require the same attention as paper correspondence from the State Tax Service. The director appoints an employee who regularly reviews notifications and forwards each matter to the relevant accountant or lawyer.

Through the account, the taxpayer receives information from tax databases and uses individual services without personally visiting the tax office. For the owner, this saves time, while the accountant compares the received information with the accounting records before an important payment or filing.

Signature, Authority and Receipts

An accountant may prepare a declaration, application or letter, while the document is signed by a person with the relevant authority. After a change of director, accountant or electronic-signature certificate, responsible employees update access before an important reporting deadline occurs.

After submission, the accountant receives a receipt or another official status provided for the specific document. This result is kept together with the declaration, application or letter and confirms the electronic filing.

If inaccurate or outdated information is displayed in the account, the taxpayer uses the right provided by the Code to report it or corrects the original data source. Information in the Unified State Register is changed through state registration, after which the updated data are transferred to the tax information systems.

If the service is temporarily technically unavailable, it is useful for the director to know other official ways to complete the particular action where the law provides them. The tax obligation is determined by the Code, while the Electronic Account is the main convenient channel for many taxpayer actions.

Where the director has chosen electronic interaction with the controlling authority in the manner provided by the Code, electronic notifications require regular attention. The employee responsible for correspondence forwards a tax demand, request or other important document to the accountant or lawyer on the day it is received or within an internal deadline that leaves time for a response.

Organising the Accounting Department's Work with the Account

For normal work, it is enough to separate three roles: an employee prepares the document, an authorised person signs it, and the accountant or director checks that the official result has been received. For incoming notifications, a responsible employee and a date by which a response or director's decision is required are assigned.

UBC can help compare tax data, signatory authority, the list of important electronic notifications and the documents confirming filing. The owner receives a clear picture of settlements and open issues, while the accountant receives working rules that correspond to employees' actual responsibilities.

For a company with several taxes or divisions, a calendar of official deadlines is useful. It contains matters that affect reporting, payments and responses to the State Tax Service. The director sees the nearest dates without having to go into the accountant's technical actions.

A well-organised Electronic Account saves time on correspondence and gives the owner documentary confirmation of tax actions. This is especially important before a bank review, sale of the business, audit or major transaction, when the company needs to confirm the status of settlements and filed reports quickly.

In a large company, the director can divide responsibility for different taxes among accountants, while responsibility for checking the official result is assigned to a specific person. This procedure creates a clear chain from preparation of the document to the State Tax Service receipt.
