Activating Diia.Signature in 2026

New activation requires an NFC-enabled smartphone and a biometric ID card, international passport or relevant residence permit. In the Diia app, the user starts Diia.Signature, reads the document via NFC, confirms identity by photo and creates a six-digit code. After this activation, documents are signed using the code without a new photo for every document.

Active signatures created earlier continue to operate until deactivation or certificate expiry. The new NFC procedure applies at the next activation. The qualified trust service provider Diia sets the validity period of a qualified Diia.Signature certificate at one year.

Law No. 2155-VIII gives a qualified electronic signature the same legal effect as a handwritten signature. The signatory therefore works with the electronic original of the document, while the counterparty or government service receives data on the applied signature.

After activation, the signature is used with the code created by the user in services supporting Diia.Signature. A current signature activated earlier remains valid until expiry or cancellation; the new NFC procedure applies at the next activation. This allows the entrepreneur to move to the updated mechanism when a new signature actually needs to be created.

Director's Signature and Authority

Diia.Signature belongs to a specific individual. For a sole proprietor, the entrepreneur is the signatory; for an LLC, the document is signed by the director or another authorised person. The Diia qualified trust service provider's regulations provide for the director's authority to be confirmed by the entry in the Unified State Register and another authorised person's authority by an appropriate power of attorney.

An accountant, lawyer or manager receives their own authority and uses their own electronic signature. Sharing a personal code or signing tool with another employee is inconsistent with proper corporate-authority arrangements. For reporting, contracts and applications, it is useful to allocate in advance who signs each category of document.

Before applying the signature, the director reads the final text, amount, details and attachments. Electronic form accelerates signing, while the commercial terms remain the same as in a paper contract. After a change of director, the new director obtains their own signature and corporate access rights.

For internal work, the company may establish different signing levels: the director signs contracts and corporate documents, the accountant signs reports within their authority, and other employees work with documents without final-signature rights. Authority is documented by corporate resolution, job documents or power of attorney depending on the particular action.

After a change of director, the previous corporate access rights are closed and the new director uses their own electronic signature. Banking rights, government portals, accounting systems and document-management services are configured separately. This procedure leaves the company with a clear list of current signatories.

Certificate, Cancellation and Working Services

Diia.Signature is used in government and private services that support this method. The Diia portal also provides a separate free service for signing files electronically. In 2026, Diia publishes a list of external electronic-document-management services in which Diia.Signature is available.

If control over the signature is lost, identification data changes or authority ends, the certificate is cancelled under the provider's rules. Corporate access to banking, email and internal systems is closed separately because each service has its own access mechanism.
