WHAT IS VAT?

WHAT IS VAT?

VAT affects price, cash flow, documents and relationships with customers. Before registration, we will calculate output and input tax, review contracts, purchases, imports and accounting readiness.

How to Start Business in UkraineOverview for companies

The owner will see when VAT payer status supports work with clients, how much money is needed in the settlement cycle and what actions the team must perform after launch.

VAT on sales, purchases and registration

The seller charges tax on a taxable transaction, prepares a tax invoice and records the liability. If the prescribed conditions are met, the buyer can form a tax credit on the basis of registered documents. The result for the period depends on the relationship between sales, purchases, adjustments and previously accumulated figures. The accountant shows the calculation using the actual chain of goods or services.

The grounds for mandatory registration are determined by the Tax Code according to transactions and the person's status. Voluntary registration is chosen when it supports sales and purchases. The State Tax Service states that Form No. 1-PDV must be submitted no later than 10 calendar days before the start of the desired tax period. Before submission, the accountant checks the current conditions and date of the first transaction.

The contract should state directly whether the price includes VAT or VAT is charged additionally, when the liability arises and which documents confirm acceptance. For an advance payment, refund, discount or change in scope, the accountant provides for an adjustment procedure. The sales department uses agreed wording and the accountant receives the data on time. The owner sees the price for the customer and the amount remaining with the company.

Tax credit, imports, exports and tax invoices

Before a purchase, the accountant checks the supplier's status, subject, primary documents and expected registration of the tax invoice. The existence of an invoice is important, but the tax credit must also correspond to the actual business transaction and other conditions. The accountant maintains a document register and marks open items. The purchasing department understands which confirmation must be obtained before payment.

A cross-border transaction requires a separate analysis of the place of supply, customs documents, rate and recognition date. Import VAT is linked to the declaration and payment, while export VAT is linked to confirmation of the relevant transaction. For services, the substance, parties and place of provision are important. The accountant aligns the contract and accounting before the first supply instead of automatically applying ordinary domestic-sale rules.

After registration, the company organises numbering, customer data, preparation deadlines, registration and receipt control. Adjustments are linked to the original document. The return is reconciled with the sales and purchase register and electronic data. The manager receives the amount payable and a list of open invoices before the internal closing deadline.

VAT can create a gap between payment to the supplier, sale and availability of the tax credit. The accountant builds a calendar of advance payments, supplies, document registration and tax payment. A reserve is useful for a company with seasonal purchases or imports. The owner understands what part of receipts relates to tax and when it will be needed for the budget.

VAT calculation and support for the first period

The cost depends on the number of transactions, imports, exports, product range, cash register, accounting and the condition of primary documents. UBC can perform the calculation and registration or manage the VAT area regularly. The proposal records preparation of the application, status analysis, document flow, reporting and advice on non-standard transactions.

The first VAT period begins with the sales and purchase plan, contracts, product range, supplier data and expected advance payments. The accountant determines tax liabilities and credit based on actual transactions. For each amount, the primary document and corresponding tax invoice are retained.

Sales, purchases, adjustments and registered invoices are maintained in one register for the period. The accountant links them with accounting records and electronic data. The manager receives the VAT calculation payable and a list of documents whose registration is still awaited.

Imports, exports, returns, prepayments or delays in a tax invoice have separate documentary grounds. The accountant determines the tax event, rate and effect on the return. The owner receives an explanation of the cash flow and documents for the specific transaction.

The commercial department prepares contracts and primary documents under agreed price terms, while the accountant prepares tax invoices and the return. Deadlines for document registration and reporting are included in the calendar. A qualified electronic signature is used by the authorised signatory.

After the period ends, the manager receives the return, receipts, tax invoice register and cash-flow calculation. The package is stored together with primary documents and adjustments. These data are used for the next period and the accounting archive.

After the first return, the accountant compares the actual liabilities, tax credit and amount paid with the planned calculation. A change in the share of advance payments, imports or purchases is reflected in the next forecast. The owner sees the working-capital requirement based on actual contracts.

Questions about a specific invoice, adjustment or import declaration are considered together with the primary documents for the relevant transaction. The answer is linked to the VAT register and reporting period. This preserves consistency between the contract, accounting and return.

A new tax period begins with the register of open invoices, expected advance payments and the reporting calendar. New contracts, imports or price changes are immediately included in the VAT calculation. The accounting department works with current sales and purchase data.

For the calculation, the accountant takes several typical sales and purchases of the company. For each transaction, the accountant states the price, first event, rate, input tax and expected settlement date with the budget. Advance payments, imports, exports, returns and purchases used in different areas of activity are considered separately.

The owner receives two clear scenarios: operation before registration and after obtaining VAT payer status. They show how the contract price, working-capital requirement and document procedure change. The accounting department receives agreed rules for invoices, primary documents, tax invoices and control of the first reporting period. For voluntary registration, Form No. 1-PDV is submitted no later than 10 calendar days before the start of the tax period. The first month after registration is managed with a separate register of sales, purchases, tax invoices and adjustments. The owner receives the VAT amount payable by the internal month-end closing date, while the accountant stores the return and receipts together with the transaction register.
